These Terms and Conditions ("T&C") govern the use of our website and the booking of accommodations at the Macdonald Stewart Canadian Pavilion. By accessing our website and making a booking, you agree to comply with these terms. Please read them carefully.
Payment and Reservation Terms

Room Pricing & Additional Guests:
Some rooms, such as our Family Ensuites, Bunk Bed Rooms, or Quad Room, are priced for a specified number of occupants. However, these rooms may have additional beds for extra people. When booking through our system, please ensure you select the correct number of guests. This will accurately display the room's pricing. If the number of guests is underrepresented at the time of booking, additional charges for extra persons will apply upon arrival. -
Payment & Deposit:
A valid credit card is required to guarantee your reservation. Payment will be processed in full or partially upon booking, depending on the room and reservation type. Any outstanding balances will be collected upon check-in. -
Cancellation & Refund Policy:
Direct bookings are non-refundable. If the direct booking system is set to "Enquiry Only" and payment is collected upon your booking request, then a full refund will be provided in the event that we cannot accommodate your request. -
Additional Charges:
Any additional services, damages, or extra person fees not covered by the initial payment will be charged to the guest’s card on file or requested at check-in.

Security Gate and Door Code

Access to Bisley Camp: The Canadian Pavilion is located within Bisley Camp, a former military base currently housing the National Shooting Centre and Ranges. Due to the secure nature of this site, guests are required to adhere to all security procedures and protocols upon arrival.

License Plate Scanning: Guests will encounter a security gate upon arrival. The gate is equipped with a camera that will automatically scan your vehicle's license plate to grant access. Please be aware that there may be a brief delay before the gate opens.

Security Personnel: There may or may not be security personnel on-site at the time of your arrival. Regardless of their presence, guests are expected to comply fully with all security instructions and cooperate with any security personnel present.

Building Access and Entry Code: To enter the Canadian Pavilion, guests must use the unique entry code on the front door keypad, which will be provided at or prior to check-in. The front door should always be kept closed to maintain the security of the building. Only registered guests will be provided with the entry code.

Assistance with Entry: In the event that you require assistance entering the building, please follow the contact instructions on the door. Our team will assist you promptly, subject to availability.

Guest Responsibility and Compliance: By proceeding with your reservation, you acknowledge and agree to respect all security measures and protocols in place at Bisley Camp and the Canadian Pavilion. Failure to comply with these procedures, including respecting security personnel and their instructions, may result in denied access to the Property and/or immediate termination of your stay without refund.

Arriving Outside Our Regular Check-In Period

Check-In Hours: The standard check-in period for the Canadian Pavilion is from 3:00 PM to 7:00 PM. Guests are required to arrive within these hours unless prior arrangements have been made.

Prior Notification: If you plan to arrive outside of the designated check-in period, you must notify the Property in advance by contacting us at hello@canadianpavilion.co.uk. Failure to make prior arrangements may result in denied access to the building. Team or Group Bookings will be provided the door code in advance of their arrival.

Earliest and Latest Check-In Times: The earliest check-in time is 12:00 PM (noon), and the latest check-in time is 10:00 PM, subject to availability of staff to support this request.

Late Arrivals: If you arrive after 10:00 PM, or if you experience delays in your travel, you acknowledge that alternative accommodations may be necessary until we reopen at 7:00 AM the following day. Any expenses incurred for alternative accommodations are the responsibility of the guest.

No-Show Policy: If you do not arrive within the specified check-in period and fail to contact the Property in advance, your reservation may be subject to cancellation without refund. Team or Group bookings will be provided an additional grace period (the booking will not be cancelled upon no-show) should one or some of their guests arrive late without notice.

Historical Room Keys & Room Key Deposit

Provision of Room Keys: Each booking will receive at least one (1) room key. Due to the historical nature of our keys, additional keys may not always be available, particularly if key inventory is low due to lost keys or prior guest departures.

Key Deposit: Guests acknowledge that a credit card may be required to be held on file, or a deposit may be collected for the key. There will be no charges to the guest's card if the key is returned before departure. If a deposit has been collected, it will be refunded upon the return of the key.

Lost Key Charges: Failure to return the key or any damage to the key will result in the loss of the deposit or a charge to the credit card on file.

No Gatherings or Parties

Prohibition of Gatherings or Parties: Guests are expressly prohibited from hosting any gatherings or parties in their room. The Property reserves the right to evict any individuals who violate this policy.

Eviction for Non-Compliance: In the event of non-compliance with this rule, the Property reserves the right to remove any occupants from the room without refund.

Non-Transferability of Reservation

Reservation Non-Transferability: This reservation is strictly non-transferable and cannot be assigned or sold to another party without explicit prior approval. Only unique circumstances will grant approval of a reservation transfer and are at the full discretion of the Company and are not guaranteed. Any unauthorized transfer of reservation may result in cancellation without refund.

Proof of Identity

Identity Verification: All guests must present original proof of identity (e.g., passport, national ID) upon arrival for verification purposes.

Failure to Provide Proof: Failure to present adequate identification may result in cancellation of the booking or refusal of entry without compensation.

Special Offer Terms

Special Offer Conditions: Special terms and conditions may apply to certain bookings and offers. In the event of a conflict between these general Terms and Conditions and the special terms, the terms of the special offer will prevail.

Non-Application of Special Offers: Any attempts to transfer or alter special offer terms may result in cancellation of the booking.

Bill Discrepancy

Bill Accuracy: In the event of a discrepancy between the bill issued and the services rendered, the terms on the issued bill will take precedence.

Disputed Charges: Any disputes regarding charges must be addressed within seven (7) days of the date of check-out, after which the charges will be considered final.

Eviction Rights

Right to Evict: The Property reserves the right to evict guests from the premises due to misconduct, non-compliance with property rules, or for reasons relating to safety, security, or medical emergencies.

Behavioral Issues: Eviction will also apply to guests who engage in discriminatory behavior, harassment, or conduct that endangers the safety and well-being of other guests and staff.

Liability for Eviction: Eviction under these circumstances will result in the guest forfeiting any paid room charges, and the Property will not be liable for any additional costs incurred as a result.

Health, Safety, and Security

Responsibility for Health and Safety: Guests must ensure they adhere to all health, safety, and security requirements as established by the Property and relevant authorities.

Liability for Non-Compliance: Any violation of these guidelines may result in charges or eviction, and the guest will be held fully responsible for any resulting damage or risk to the Property, staff, or other guests.

Hygiene and Safety

Guest Responsibility for Hygiene and Safety: Guests must maintain acceptable hygiene standards during their stay and adhere to all safety protocols provided by the Property.

Non-Compliance: Failure to comply with hygiene and safety guidelines will be the responsibility of the guest, and may result in additional cleaning charges or eviction from the Property.

Damage to Property

Responsibility for Property Maintenance: Guests are responsible for ensuring that no damage occurs to the Property’s assets, including but not limited to furniture, fixtures, and equipment.

Charges for Damages: Any damage caused to the Property will result in charges for repairs or replacement, and guests will be held liable for all associated costs.

Allergies and Sensitivities

Guest Responsibility for Allergies: If you have any allergies, sensitivities, or intolerances to materials, fabrics, cleaning products, or food, it is your responsibility to inform Property management prior to arrival.

Liability for Failure to Inform: Failure to disclose relevant allergies or sensitivities may result in the guest being held responsible for any adverse reactions or health issues that occur during their stay.

Valuables Storage

Storage of Valuables: Guests may store valuables in a safety deposit box in their room, or may request storage from Property management, subject to availability.

Charges for Valuables Storage: The Property reserves the right to charge a fee for storing valuables, which must be agreed to in advance.

Notification for High-Value Items: Guests must inform the Property in advance if they wish to store exceptionally valuable items, as the Property may refuse to store such items.

Loss or Theft of Property

Responsibility for Personal Belongings: The Property accepts no responsibility for any personal belongings lost, stolen, or misplaced during the guest’s stay, whether due to guest actions or Property negligence.

Liability Waiver: Guests acknowledge and agree that the Property is not liable for the loss, damage, or theft of personal property during their stay.

Claiming Lost Property

Proof of Ownership: To claim lost property, guests must provide valid identification and proof of ownership. This may include receipts, photographs, or other documentation that proves the item belongs to the guest.

Postage of Lost Property: If requested, the Property may arrange for the postage of lost property at the guest's expense. The guest will be notified of the postage cost, and payment must be received before the item is shipped.

Liability Disclaimer

Property Liability: The Property is not liable for any financial loss, travel delays, injury, damage, or inconvenience caused by events beyond our control. These events may include, but are not limited to, flight delays, civil disturbances, strikes, theft, acts of terrorism, natural disasters, fire, floods, or government intervention. Guests should ensure they have adequate travel insurance to cover such circumstances.

Indemnification: Guests agree to indemnify and hold the Property harmless from any claims, losses, or damages arising from such events or any actions taken by the guest during their stay. This includes, but is not limited to, legal claims, damages to the Property, or harm to other guests or staff members caused by the guest's actions.

Changes to Terms and Conditions

Amendment of Terms: The Property reserves the right to alter, amend, or update these Terms and Conditions at any time, without prior notice. These changes may be made in response to legal requirements or operational adjustments, and they may be implemented immediately.

Effect of Changes: Any changes to the Terms and Conditions will be posted immediately on the Property’s website. It is the guest's responsibility to review the updated Terms before confirming any booking or reservation. By continuing to make a reservation or staying at the Property, guests accept the latest version of the Terms and Conditions.
